◆ FieldOps Suite

The FieldOps Suite User Manual

Every tool in the app — what it does, the problem it solves, and exactly how to use it. Written for owners and crews, not engineers.

Edition v1 · 2026 Covers 54 tools across 7 areas For owners & team members Print ⌘P → Save as PDF

How to use this manual

This manual mirrors the app: tools are grouped exactly where you find them, so if you can navigate the app you can navigate this. Every tool follows the same shape — what it does, the problem it solves, and a numbered how‑to you can follow step by step.

Each tool shows a plan chip. If a tool is greyed out in your app, your plan doesn't include it yet — the Plans at a glance section below shows what's in each plan. A Owner / Admin chip means the tool (or its key controls) are meant for the account owner or an admin.

Home (Dashboard)

All plansWhere: Bottom tab: Home

Your daily command center — a greeting, live business KPIs, and the "Money Moves" feed that ranks the highest-dollar things you should do today. It also surfaces the day's jobs and quick shortcuts into the rest of the app.

The problem it solves

Instead of digging through screens to figure out where the money is, you open one screen that tells you what to work on right now to get paid and win more work.

How to use it
  1. Tap the Home tab (house icon, far left).
  2. Read the KPI tiles at the top for an instant snapshot of your business (revenue, jobs, and outstanding money).
  3. Scroll to the Money Moves feed — each card is a suggested money-making action ranked by dollar value (for example, collect on an unpaid invoice or follow up on an open quote/lead).
  4. Tap the action on a Money Move to act on it (such as sending a payment reminder or following up with a client).
  5. Review today's jobs shown as cards; tap one to open its full detail, or use its call/text/navigate buttons.
  6. Pull down to refresh the numbers at any time.
Good to know
  • The KPIs and Money Moves are computed from your live data, so they only look complete once you have clients, appointments, and invoices in the app.
  • The Money Moves feed focuses on revenue actions (getting paid and following up); it isn't a full to-do list.
  • Home always stays visible for every user and role, even when other tools are hidden by plan or permissions.

AI Daily Briefing

ManageWhere: The AI Daily Briefing card near the top of the Home tab (tap Generate if it hasn't loaded yet).

It's powered by the Account Brain — the learning system that quietly studies your quotes, jobs, payments, and reviews — and it doesn't spend AI credits.

A short, plain-English morning rundown that reads like an assistant's brief — today's jobs, weather alerts, stale or overdue jobs, completed-but-unpaid jobs, and new clients who still need a quote — followed by a few recommended actions. Its "Do It Now" suggestions are tappable and jump straight into the tool that handles them.

The problem it solves

Instead of piecing the day together from the calendar, the weather app, and your invoices, you get one narrated summary of what matters today — and each recommendation is one tap from being handled.

How to use it
  1. Open the Home tab and find the AI Daily Briefing card (tap Generate the first time).
  2. Read the summary and any alert banners (severe weather, heavy workload).
  3. Scroll its lists: today's jobs, stale/overdue jobs, unpaid completed jobs, and new clients without a quote.
  4. Under Do It Now, tap a suggested action to go straight where you act on it — a suggested area campaign opens the Campaign Builder pre-seeded with that area; get-paid and follow-up suggestions open Money Moves.
  5. Use the speaker control to have it read aloud hands-free while you drive.
Good to know
  • The briefing is generated from your live data, so it's only as full as your schedule, invoices, and clients.
  • It's free everyday AI (like the dashboard and weather) — it doesn't draw on your AI credit allotment.
  • The tappable "Do It Now" actions are the fast path; the rest of the briefing is a read-only heads-up.

Schedule

All plansWhere: Bottom tab: Schedule

Your appointment list of jobs, quotes, inspections, and consultations, with financial totals and a 7-day outlook. You create appointments here and keep each job's status current.

The problem it solves

Shows what's booked, when, and what it's worth — so you know your day at a glance and can move jobs through "on my way → in progress → done → paid" without losing track.

How to use it
  1. Tap the Schedule tab (calendar icon).
  2. Use the filter bar to switch between Today, Upcoming, Past 7 days, Past 30 days, Past 90 days, and All.
  3. Check the stat row (Jobs / Active / Done / Cancelled), the Scheduled Value banner, and the 7-Day Outlook chart.
  4. Tap the + (top right) to add one. Fill in the Title, choose a Type (Job / Quote / Inspection / Consultation), pick the Date and Start Time, optionally Assign to a team member, choose or type the Client, add Services & Pricing and Notes, then tap Schedule Appointment.
  5. Tap any job card to open its detail; use the status button to Mark Confirmed or Mark Complete, or Cancel Appointment / Mark No-Show.
  6. On a card or in detail, use the quick buttons to navigate to the address, call, or text the client; in detail, On My Way sends the client an ETA.
  7. To remove several at once, tap Edit, select the jobs, and tap Delete Selected.
Good to know
  • The purple Business / General section is for internal meetings/calls and is kept completely separate from client jobs — it never affects your job counts or revenue totals.
  • Marking a job Complete runs a proper close-out that updates its linked invoice; a job that's been paid still counts as "Done" in the stats.
  • Editing an existing appointment's date won't message the client unless you turn on the Notify client of changes toggle.
Home base

Clients

All plansWhere: Bottom tab: Clients

A searchable address book of your customers, each showing their lifetime revenue and contact details. Open a client to see their history and start new work for them.

The problem it solves

Keeps every customer's contact info, value, and job history in one place so you can call, quote, and rebook without hunting through notes or texts.

How to use it
  1. Tap the Clients tab (two-people icon).
  2. Search by name, email, phone, or address; change order with the sort menu (Name, Newest/Oldest, or Value High/Low).
  3. Tap the + (top right) to add a client, or Add Client on the empty-state screen.
  4. On a client card, use the quick buttons to navigate, call, text, or email, or tap Quote to start a new quote for them.
  5. Tap a card to open the full client detail (their info and history).
  6. To remove clients, tap Edit, select them, and tap Delete Selected.
Good to know
  • The Lifetime value on each card and the Lifetime Rev stat are the sum of that client's paid invoices only.
  • Deleting a client is permanent and cascades — it also removes their linked quotes, invoices, and appointments.
Home base

Invoices

All plansWhere: Bottom tab: Invoices

Your list of invoices with a clear payment status on each, plus revenue-at-a-glance totals and a 6-month invoiced-vs-collected chart. This is where you see who owes you and mark invoices paid.

The problem it solves

Turns "am I getting paid?" into one screen — outstanding balances, what you've collected this week/month/year, and one-tap ways to settle invoices.

How to use it
  1. Tap the Invoices tab (card icon).
  2. Use the filter to switch between Unpaid, All, and Paid.
  3. Review the Balance Due banner (when viewing Unpaid), the This Week / This Month / This Year revenue tiles, and the 6-month chart.
  4. Tap the + (top right) to create a new invoice, or New Invoice on the empty-state screen.
  5. Tap any invoice to open its detail; to settle it, use Mark Paid. If the customer paid less than billed, the app asks you to confirm whether the shortfall is a discount — for a balance that's still owed, use Record Payment instead.
  6. To fix historical records in bulk, tap Edit, select invoices, then Mark Paid or Mark Completed (this quietly corrects status and sends no receipts).
Good to know
  • The Paid badge is derived from the money (amount paid vs. balance), not just the status word, so the list stays accurate no matter how the invoice was created.
  • The app never fabricates revenue: if a customer pays less than the total, that gap is treated as a discount rather than pretend income — only use Record Payment when a balance genuinely remains owed.
  • Invoices tied to a future job appear in their own Future Scheduled section and are not counted as outstanding debt; an invoice with no price shows a red NEEDS PRICING flag to fix.

Messages (Client Text Inbox)

All plansWhere: More menu → Core → Messages (the bubble icon; the title shows an unread count, e.g. "Messages (3)").

Two-way texting requires your own business text number set up first.

An in-app inbox for texting on your business number. Every time a client texts back — replying to a reminder, a quote link, a Money Moves nudge, or an "On My Way" — their message lands here as a threaded conversation you can read and reply to, with your replies sent back out from the business number.

The problem it solves

When texts go out from the business but replies scatter to voicemail or a personal cell, customer questions get dropped and jobs stall. Messages pulls every inbound reply into one place, keeps the whole back-and-forth in a single thread, and keeps the conversation on your business line so nothing is missed and it stays professional.

How to use it
  1. Open More → Messages. Unread conversations show a dot and the title shows a count.
  2. Tap a conversation to open the full thread with that client.
  3. Type in the Text back… box and tap send — your reply goes out on the business number and joins the thread.
  4. Pull down to refresh for new replies.
Good to know
  • Replies send from your business text number, so you need one set up first (see Business Text Number / AI Phone Agent) with A2P registration finished for reliable US delivery.
  • A text from a number that isn't a saved client yet still shows up (labeled by the number), but you'll be prompted to add them as a client before you can reply from the app.
  • The inbox tracks texts only — not calls or emails — and opening a thread clears its unread badge.

Sales & Finance

Win the work and get paid

Sales & Finance

Quotes

All plansWhere: More → Quotes

Build a price quote, send it to the customer for online approval, and turn an approved quote into a scheduled job and then an invoice — without re-typing anything.

The problem it solves

Paper estimates and texted prices get lost, and you never know which ones the customer actually said yes to. Quotes keeps every estimate in one place, lets the customer approve with a tap, and carries the approved price straight through to scheduling and billing — so nothing falls through the cracks and every "yes" gets on the calendar.

How to use it
  1. Open More → Quotes and tap the + in the top corner to start a new quote.
  2. Choose the customer (or add a new one), then add your line items — each service with its price. Add a discount or tax if needed; the total updates as you go.
  3. Save it as a Draft to finish later, or tap "Send for Approval" to text/email the customer a link where they can approve it online.
  4. Watch the status move as it progresses: Draft → Sent → Accepted → Scheduled → Completed → Paid.
  5. While it says "Awaiting client response," if the customer tells you over the phone to go ahead, tap "Approve on My End" right on the quote screen — no need to wait for them to click the link.
  6. Once it's Accepted, schedule it: "Send 3 Dates to Client" (they pick the one that works) or "I'll Pick the Date" (you choose on the calendar).
  7. After the job's done, tap "Complete Job," then "Mark Paid" when you collect — or let it convert into an invoice.
Good to know
  • Approving a quote (either way) stamps the date it was won, which feeds your close-rate and sales stats — so always approve it in the app rather than just scheduling around it.
  • Editing an already-sent quote is fine; the customer's link always shows the latest version.
Sales & Finance

Lead Pipeline

All plansWhere: More menu → Sales & Finance → Lead Pipeline (also in the sidebar on iPad/Mac).

An owner can hide it from specific roles under Role Permissions (it's a role-assignable Sales & Finance tool); visible to everyone by default.

Pairs an AI "Pipeline Advisor" (hot leads, stalled-quote revival, churn-risk clients, plus live pipeline numbers) with a manual form for logging a new inbound lead by hand.

The problem it solves

Shows you what needs attention in your sales pipeline before you add more work, and captures walk-in, phone, and referral leads so none slip through the cracks.

How to use it
  1. Open Lead Pipeline — the Pipeline Advisor loads automatically with hot leads, stalled quotes, churn risks, and metric chips (Open / Win % / Stalled / Churn). Pull down to refresh or tap Refresh.
  2. Scroll to the Pipeline Stages, conversion funnel, and "Largest Open Opportunities" cards to see the numbers behind the advice.
  3. To add a lead, tap "Log New Lead."
  4. Fill in Contact (name, email, phone), Property address (with autocomplete), Lead Details (choose a Lead Source and service interest), and Notes.
  5. Tap "Submit Lead."
  6. The lead saves and the advisor refreshes to include it.
Good to know
  • You must enter at least a phone number or an email — Submit stays disabled otherwise.
  • Lead Source options are manual, phone, SMS, web form, referral, door knock, and social media — pick the right one so your source reporting stays accurate.
  • The advisor is generated from your own data; if it says it's "still learning," it needs more quotes, jobs, and history before its playbook is meaningful.
Sales & Finance

Payments

All plansWhere: More menu → Sales & Finance → Payments. Text-to-pay lives on an invoice — open an invoice and tap "Text to Pay."

Role-assignable — an owner can hide it from certain roles.

A running log of every payment received, with totals and a 6-month chart, plus a form to record a payment manually and (from an invoice) text or email the client a Stripe pay-by-card link.

The problem it solves

One screen to see what's been collected, what's still pending, and this month's total — and a fast way to get paid by card without chasing the client.

How to use it
  1. Open Payments to see Total Received, Pending count, This Month, a monthly bar chart, and the payment list.
  2. Filter with the All / Completed / Pending / Failed chips, and sort (newest, oldest, amount, name) from the sort button.
  3. Tap any payment to expand its details — method, reference, linked invoice, and notes.
  4. To log a payment, tap the + button, enter the amount and client name, pick a method (Cash, Check, Credit Card, ACH, Zelle, Venmo), optionally add a reference / invoice ID / notes, then tap "Record Payment."
  5. To collect by card, open the invoice instead and tap "Text to Pay" — it creates a Stripe checkout link and texts plus emails it to the client; when they pay, the invoice is marked paid automatically.
  6. To remove payments, tap Edit, select rows, then "Delete Selected."
Good to know
  • Recording a payment against an invoice ID never invents revenue — if the amount is short of the balance, the invoice becomes "partially paid" with the remainder still owed rather than written off.
  • Text to Pay needs the invoice to have a client with contact info, and requires Stripe to be connected first (Settings → Stripe Settings shows "Connected" or "Not Connected").
  • Bulk delete only removes rows that actually deleted on the server — a failed delete stays visible so a money record can't silently disappear.
Sales & Finance

Financials

GrowWhere: More menu → Sales & Finance → Financials.

Below Grow the row shows a lock and can't be opened. Role-assignable on top of the tier gate.

A financial analytics dashboard — total collected revenue, balance due, forecasted/scheduled revenue, a revenue trend chart, invoice breakdown, quote-conversion funnel, top clients, growth insights, and AI "Recommended Moves." A second tab shows a demand Forecast.

The problem it solves

Gives the owner one trustworthy read on money in, money owed, and where growth is coming from — without exporting anything to a spreadsheet.

How to use it
  1. Open Financials; it starts on the Overview tab (switch to Forecast with the toggle at the top).
  2. Use the period picker (3M / 6M / 1Y / All) to set the time window.
  3. Read the hero card: Total Collected Revenue, Costs and Profit (if you've logged expenses), Balance Due, Forecasted, and Lifetime Value.
  4. Scroll for the revenue trend chart (Collected / Billed / Scheduled), the invoice breakdown, the quote conversion funnel with close rate, and Top Clients by Revenue ("See All" opens the full list).
  5. Review Growth Insights (month-over-month, quarterly, new clients, average job value) and the AI "Recommended Moves" grounded in your own data.
Good to know
  • "Profit" only appears once you've logged costs in the Expenses tool — it's collected revenue minus tracked expenses.
  • Growth percentages use only completed months and real collected money; a brand-new account shows "New" instead of a misleading +100%.
  • The AI recommendations carry a maturity label (Learning through Expert) and a signal count so you can tell how much data they're based on.
Sales & Finance

Expenses

All plansWhere: More menu → Sales & Finance → Expenses. Fast voice entry is also on the dashboard via the "Log Expense" button.

Ungated and always visible — it isn't restrictable by role.

Log and review business and job costs by category, tag them billable, attach receipts, and export a tax-ready CSV. Supports voice-to-expense and receipt-photo auto-fill.

The problem it solves

Keeps every cost in one place with QuickBooks-ready fields and an IRS Schedule C tax category, so your profit number is accurate and tax time isn't a scramble.

How to use it
  1. Open Expenses to see This Month and All Time totals, the expense list, and a "By Category" breakdown.
  2. Tap "Add Expense" (or the dashboard "Log Expense" button, which starts listening the moment it opens).
  3. Speak it — e.g. "forty five dollars fuel at Shell" — and it logs automatically, or type the amount and pick a category.
  4. Add vendor, date, how it was paid, and notes; optionally link it to a job, toggle "Billable to client," toggle "Repeat monthly," or attach a receipt photo (which can auto-fill amount, vendor, and category).
  5. Tap Save.
  6. Tap any expense to view or edit every field, or delete it from within the editor.
  7. Tap "Export for taxes (CSV)" to share a spreadsheet with tax categories.
Good to know
  • Each expense's vendor, category, payment method, date, and billable flag map straight to a QuickBooks expense (Purchase) — nothing to re-enter once QuickBooks is connected.
  • Editing an existing expense does a merge-safe save, so any QuickBooks sync IDs the system has written are preserved.
  • Categories carry an IRS Schedule C bucket used by the CSV export, and "Billable to client" marks a cost you intend to pass through to the customer.
Sales & Finance

Commercial

GrowWhere: More menu → Core → Commercial (also in the sidebar's Core section on iPad/Mac). Three tabs across the top: Accounts, Quotes, Follow-Ups.

Role-assignable on top of the tier gate.

A separate workspace for business accounts — HOAs, property managers, and multi-location companies — where one parent company holds many properties and contacts. A multi-address quote wizard builds a single itemized quote that covers several buildings, and a Neighborhood / HOA bulk quote turns a whole street into one campaign quote. All of it stays apart from your residential client list.

The problem it solves

Commercial work is bigger-ticket but a different animal — one decision-maker, many buildings, one approval. Residential-style, one-address-per-quote tools force clumsy workarounds. Commercial handles the whole shape (company → its properties → one quote → one approval) so you can chase HOA and property-manager work without stepping up to enterprise software.

How to use it
  1. Open Commercial and start on the Accounts tab. Tap + to add a company — its name, phone/email, and its properties and contacts (use Auto-Fill to pull public business details).
  2. Switch to the Quotes tab and tap New Commercial Quote to open the four-step wizard.
  3. Step 1 Company: pick or create the account. Step 2 Addresses: select one or many of its properties. Step 3 Services & Measure: on each address add services and, where a service is measured, run a measurement. Step 4 Review: check the per-address subtotals and grand total.
  4. Save it as a Draft, or tap Send for Approval to text/email the account's contact a link to approve the whole quote online.
  5. For a whole street or subdivision, tap New Neighborhood / HOA Quote: enter one sample address, tap Find Homes on This Street, pull house square footage, trim the list, set one campaign price, and file it as a single itemized quote (one line per home).
  6. Use the Follow-Ups tab to log and track next steps with commercial accounts.
Good to know
  • Commercial accounts, properties, quotes, and contacts live in their own records, completely separate from your residential Clients — so commercial work never mixes into your household job counts or revenue math.
  • A commercial quote sends to a contact on the account, not the account itself — the wizard seeds a primary contact from the account's saved phone/email if you haven't added one, so Send always reaches a real person.
  • The neighborhood bulk quote leaves per-home AI driveway/roof scans off by default so a simple house-wash campaign doesn't burn AI credits; house square footage comes from cheap property records instead.

Operations

Run the day

Operations

Services

All plansWhere: Operations > Services (sidebar, or the "More" menu > Operations > Services)

(The Services item is ungated in navigation, so it's available on Organize, Manage, and Grow.)

Your service catalog and price list. Each service holds a name, description, a price, and a "Measured by" setting that tells quotes how to size and price it.

The problem it solves

Keeps your offerings and pricing in one place so quotes and invoices build themselves consistently instead of you re-typing prices and re-doing the math on every job.

How to use it
  1. Open Services to see your list; use the up/down arrow menu to sort by Name or Sort Order.
  2. Tap the + (top right) to add a service, or tap any row to edit it.
  3. Enter the Service Name and an optional Description.
  4. Under Pricing, pick a "Measured by" option (Flat rate, Per unit, Per window, a square-footage type like Driveway/Roof/House, or a linear-foot type like Fence/Wall or Gutters). The price field's label changes to match (per sq ft, per linear ft, per unit, or flat).
  5. Enter the price, set the Active toggle and Sort Order, then tap Create/Update Service.
  6. To remove services, tap Edit to multi-select and bulk-delete, or long-press a row for Edit / Deactivate / Delete.
Good to know
  • The "Measured by" choice is what lets the quote builder auto-size a service from the right measurement (for example, a "Driveway square footage" service pulls the driveway area; a "Fence / Wall (linear ft)" service pulls the linear-foot tracer). Pick it carefully or a quote can size against the wrong number.
  • Deactivating a service (rather than deleting) hides it from new quotes but keeps it on past records; deletes are permanent.
Operations

Equipment & Inventory

ManageWhere: Operations > Equipment & Inventory. The screen has three tabs across the top: Equipment, Inventory, and Maintenance.

(Gated by the "Equipment Tracking" feature, which requires the Manage tier.)

Tracks your tools, supplies, parts, and chemicals with quantities, vendor prices, and part numbers, and flags anything running low. The Inventory tab also holds budgeted shopping lists.

The problem it solves

Stops you from showing up short on a part or chemical and gives you a running total of what your equipment and stock are worth.

How to use it
  1. Open Equipment & Inventory and pick the Equipment or Inventory tab.
  2. Read the summary cards at top: Total Items, Low Stock, and Total Value.
  3. Tap + to add an item, or paste an Amazon/vendor URL into "Smart Auto-Fill From Link" and tap Scan to have it fill in the name, price, category, and specs for you.
  4. Fill in name, category, part number, quantity on hand, price, and vendor, then Save.
  5. Use the search bar to find by name, category, part number, or vendor; tap a category header to collapse/expand it.
  6. Tap "Refresh Prices" to re-check vendor pricing, or "Check Alerts" to re-evaluate low-stock warnings.
  7. On the Inventory tab, switch to Shopping Lists to create a budgeted list and add items with estimated costs.
Good to know
  • Anything at a quantity of 5 or fewer is automatically flagged "LOW" and surfaced in a Low Stock Alerts section.
  • Total Value is quantity times price across all items, so keeping quantities current keeps that number honest.
  • Shopping lists show budget vs. estimated total vs. remaining, turning the "Remaining" figure red if you go over budget.
Operations

Route Optimizer

ManageWhere: Operations > Route Optimizer

(Gated by the "Route Optimizer" feature, which requires the Manage tier.)

Lists today's scheduled stops in time order and reorders them into the most efficient driving sequence, with one-tap navigation to each address.

The problem it solves

Cuts wasted drive time and backtracking so the crew runs the day's stops in a sensible order instead of chasing the calendar around town.

How to use it
  1. Open Route Optimizer to see today's stops, numbered in order, with each client's address and start time.
  2. Tap "Optimize Route" — the stop list reorders on screen into the most efficient driving sequence, and the summary offers "Open in Maps" to navigate the whole route in that order.
  3. Or tap "Navigate" on any single stop to open turn-by-turn directions to just that address.
  4. To split the day across a crew, tap "Assign to techs" (an experimental multi-tech view).
Good to know
  • Only appointments dated for today appear here, so schedule the day first and the route populates automatically.
  • Optimize is unavailable when there are no stops, and the Navigate link needs a property address on the appointment to work.
Operations

Open Capacity

ManageWhere: Operations > Open Capacity

(Gated by the "Capacity Planning" feature, which requires the Manage tier.)

Shows how full your schedule is: open days over the next 14 and 30 days, how many field days your crew actually has, a fill-rate gauge, booked jobs, average job value, and a 14-day load chart, plus a plain-language recommendation.

The problem it solves

Tells you at a glance whether you're underbooked and have room to sell more work, so slow weeks get spotted early instead of after they've passed.

How to use it
  1. Open Open Capacity to see the stat grid: Open Days (14d), Open Days (30d), Field Days (30d), Booked Jobs, and Avg Job Value.
  2. Check the Fill Rate gauge - it turns green when healthy and shows an "underbooked" pill when there's slack.
  3. Read the "14-Day Load by Day" bar chart to spot which days are light or heavy.
  4. Review the Operational Recommendation card and the projected open-day value.
  5. Scroll to Upcoming Jobs for the next appointments on the books.
  6. Pull down to refresh the numbers.
Good to know
  • "Field Days (30d)" is availability-aware - it reflects the days your crew is actually scheduled to be in the field, not just calendar days.
  • A brand-new account with nothing on the calendar is not flagged underbooked; it simply prompts you to add jobs. The underbooked warning only fires once there's real scheduling history and the fill rate falls below about 65%.
Operations

Mix Calculator

All plansWhere: Operations > Mix Calculator

(Ungated in navigation.)

A soft-wash dilution calculator. Give it your tank size, the strength you want to spray, and the strength of your SH (sodium hypochlorite) stock, and it tells you exactly how much SH, water, and surfactant to load.

The problem it solves

Takes the guesswork and mental math out of mixing at the truck, so you hit the right cleaning strength every time without wasting chemical.

How to use it
  1. Open Mix Calculator and enter your Tank size in gallons.
  2. Set the Target strength using the quick chips (House wash 1%, Medium 2%, Heavy 3%) or the slider.
  3. Choose your SH stock strength (12.5% pool shock, 10%, or 6% bleach).
  4. Adjust the Surfactant amount (ounces per gallon) with the slider.
  5. Read the "Load This" card for the exact gallons of SH, gallons of water, and ounces of surfactant, plus a plain-English recipe sentence.
Good to know
  • It runs entirely on the device with no internet needed, so it works anywhere - including a job site with no signal.
  • The core math is SH gallons = tank size x (target % / stock %); water is whatever's left to top off the tank.
Operations

Business Contacts

All plansWhere: Operations > Business Contacts

(Ungated in navigation; available on iPhone and iPad.)

An industry address book for the people you deal with who aren't customers - suppliers, vendors, product reps, subcontractors, and partners. Call, text, email, or open their website in one tap, and book meetings, calls, deliveries, or site visits with them.

The problem it solves

Keeps your "little black book" of trade contacts separate from your client list, so the parts guy and your chemical supplier don't clutter your customer records or get mistaken for revenue.

How to use it
  1. Open Business Contacts to see your list; use the search bar to find one by name, company, role, phone, or email.
  2. Tap the + button to add a contact - enter name, company, role, a category (Supplier, Vendor, Product Rep, Subcontractor, Partner, Other), and phone/email/address/website.
  3. Tap a contact to open their detail page.
  4. Use the Call, Text, Email, and Website buttons for one-tap contact.
  5. Under Appointments, tap "Book" to schedule a Meeting, Call, Site Visit, or Delivery with them.
  6. Mark booked appointments done or cancel them from the appointment's menu; use the top-right menu to Edit or Delete the contact.
  7. Upcoming business appointments surface in an "UPCOMING" card at the top of the list.
Good to know
  • These contacts and their appointments live in their own separate records, so they never touch your client job counts, revenue totals, or overdue/stale-job detectors.
  • Deleting a contact keeps any appointments you'd already booked with them, so your history stays intact.
Operations

Live Arrival Tracking (On My Way)

All plansWhere: The quick-action bar on any job (appointment) or quote detail — Navigate, Call, Text, On My Way.

Available to any role that can open the job or quote.

One-tap field actions on a job or quote. Navigate opens turn-by-turn directions, Call and Text reach the client, and On My Way texts them an ETA calculated from where your truck actually is — optionally with an Amazon-style live tracking link so the customer can watch your truck move toward them on a map until you arrive.

The problem it solves

"What time will you be here?" calls and no-show worries go away. The client gets an honest heads-up and, if you choose, a live map — so they're ready when you pull up and you look like a pro.

How to use it
  1. Open a job or a quote and find the quick-action bar (Navigate / Call / Text / On My Way).
  2. Tap On My Way. It fetches a live drive time from your current location and pre-fills an ETA (adjust with the 5/10/15/20/30/45-minute chips, or turn the ETA off).
  3. Leave "Let them watch me arrive on a live map" on to add a live tracking link to the text (toggle it off to send just the ETA).
  4. Optionally edit the message, then tap send. On a job, the appointment flips to "en route."
  5. Drive — while the trip is live your location streams to the client's tracking page; it stops automatically when you arrive (or after 2 hours).
Good to know
  • The ETA uses your real position and Apple Maps drive time, so it reflects actual traffic, not a guess.
  • The live "track your pro" link only appears when the record has a property address, and sharing ends the moment the trip stops — your location is never streamed indefinitely.
  • Sending On My Way from a quote (for example, heading to an estimate) notifies the client but doesn't change any status — only jobs move to "en route."

AI Property Measurement (Driveway, Roof & Linear)

ManageWhere: From the quote builder — tap Measure on a service that's measured by area or linear feet (set under Services → "Measured by"). Also reachable from a client's property.

Measures a property from satellite imagery so a quote can size itself. A driveway runs an AI scan (satellite → AI surface detection → traced outline → square footage) and shows you the result to confirm. A roof pulls roof data and offers a manual tracer with pitch, "squares," and a waste factor. Fences, gutters, and walls use a manual linear-foot tracer you draw on the map. You always review and adjust the outline before it feeds pricing.

The problem it solves

Accurate measurements normally mean a site visit or guesswork, and guessing means underbidding big properties. This gets you a measured number from the truck or the office — but keeps you in control, because it's an assist you confirm, not a black-box price.

How to use it
  1. In a quote, add a service that's measured by area or linear feet, then tap Measure.
  2. For a driveway, let the AI scan run. It comes back with a confidence read: a green "looks good" quick-accept, an amber "please verify" banner, or — when it isn't confident — it drops you straight into the manual tracer.
  3. Check the traced outline on the satellite image. Use the fingertip magnifier (loupe) to drag points and fix the shape, adding or removing points as needed.
  4. For a roof, use the roof data or tap Auto-outline to seed the building shape, confirm it, and set the pitch so the slope factor and "squares" are right.
  5. For a fence, gutter run, or wall, trace the line on the map to get linear feet.
  6. Confirm the measurement — it flows back into the quote line and prices against your "Measured by" setting.
Good to know
  • It's an assist, not an auto-price: nothing prices until you accept the outline, and low-confidence or oversized scans deliberately route you to trace it by hand instead of showing a bogus number.
  • Once you accept a driveway outline, it's saved with the property — re-opening the tool shows your accepted points on the same satellite image instantly (no re-scan, no extra credits), so you can view or nudge them any time.
  • On tricky lots (cul-de-sacs, multiple buildings), the scan uses an extra AI pass to locate the right driveway before tracing, so points land on your customer's surface — not the neighbor's.
  • If a paid driveway scan finds nothing, the AI credits for it are refunded.
  • The "Measured by" setting on each service decides what a measurement is used for, so a flat or per-unit service never gets a Measure button and an area can't be multiplied into a flat price.

Follow-Up Desk

ManageWhere: More → Follow-Up Desk

A ready-made daily call list of past customers worth reaching back out to, with one-tap logging of how each call went — and automatic tracking of the revenue those calls bring back.

The problem it solves

Repeat customers are your cheapest revenue, but they slip away because nobody remembers who's due for another service. The Follow-Up Desk builds the list for you every day — ranked by who's most worth calling — and keeps score of every call, so reactivation becomes a habit instead of an afterthought.

How to use it
  1. Open More → Follow-Up Desk. It opens on today's suggested customers to call, with the highest-value ones first.
  2. Tap a customer to see their history, then tap to call them right from the app.
  3. After the call, log what happened with one tap: Booked, Voicemail, No answer, Callback, Not interested, or Bad number.
  4. If they ask you to call back later, choose Callback and set the day — they'll pop back onto your list on that date automatically.
  5. Open the Team Scoreboard from the Follow-Up Desk to see calls made, customers reached, jobs booked, and the revenue tied to those calls — per person.
  6. Set a goal for each team member (calls, bookings, or revenue) and watch the progress fill in as they work the list.
Good to know
  • Per-person credit only works once each team member signs in with their own login — otherwise every call is logged under one account.
  • A quote that's a few weeks old with no response usually isn't worth chasing here — the Desk focuses on customers with real repeat-service potential, not cold estimates.
Growth

Team Scoreboard

Grow Owner / AdminWhere: More menu → Growth → Team

Everyone on the plan can view; setting goals, creating bonus plans, choosing who appears, and approving payouts are Owner/Admin only.

Ranks each team member by an activity score and shows the money they actually collected, plus their quotes, close rate, jobs booked, calls, and field work for the period.

The problem it solves

Gives owners a single, fair scoreboard of who's driving revenue and activity, so goals and bonuses reward real results instead of guesswork.

How to use it
  1. Open the Team tool and pick a period at the top (This Week / This Month / This Quarter).
  2. Owner/Admin: tap "Manage who's on the scoreboard" to turn individual team members on or off.
  3. On the Scoreboard tab, review the ranked cards (highest activity score first) — each shows collected revenue, quotes, close rate, booked jobs, and calls.
  4. Tap any person's card to open their full activity breakdown: sales, follow-up calls, field work, and goal progress.
  5. Switch to the Goals tab and tap "Set a goal" to give someone a revenue, call, booking, or job target for the week, month, or quarter.
  6. Switch to the Bonuses tab to create a plan (spiff, tiered bonus, contest, or streak), then tap "Recompute payouts."
  7. As payouts appear, tap Approve, then Mark paid when you pay them out.
Good to know
  • Per-person credit only works when each person signs in with their own login. Anyone added to the roster without a login shows zeros and an "invite them to track" note, and attribution counts from the day they start using their own login forward — it can't split up past activity that was logged under one shared account.
  • Collected revenue is the money that actually came in per person for the period; the follow-up call activity is live from the Follow-Up Desk.
  • A rep only sees their own line plus the goals and bonuses they can earn; the management controls stay hidden unless you're the owner or an admin.
Growth

Reviews

ManageWhere: More menu → Growth → Reviews (also available as the Reviews tab inside Marketing)

Requests Google reviews from your clients, tracks who's been asked and who has actually reviewed, and pulls your latest Google reviews back into the app.

The problem it solves

Turns finished jobs into a steady stream of Google reviews without hand-tracking who to ask, and keeps you on top of what customers are saying.

How to use it
  1. Open Reviews to see your review stats and client list.
  2. Tap "Sync Google Reviews" to pull your current Google rating and recent reviews and auto-match them to clients.
  3. For any reviewer that couldn't be matched, tap to link them to the right client.
  4. Use the filter tabs (All / Reviewed / Sent / Not Sent) and search to find who still needs a request.
  5. Tap send on a client to text and email them a review request, or turn on select mode to send, mark reviewed, or delete in bulk.
  6. Open the Follow-Up Schedule card to set how many days after a job the first request goes out, how long between reminders, and the maximum number of reminders.
  7. Tap "Ask AI about your reviews" to spot trends and plan a response, and use the AI reply drafter to answer a review in your voice.
Good to know
  • Requests can go out automatically: the app sends the first ask a set number of days after a completed job and follows up until it hits your reminder cap — set the maximum to 0 to switch follow-ups off.
  • Google only returns five reviews per sync, so some reviewers will land in the "unmatched" list for you to link by hand.
  • "Mark reviewed" simply records that a client completed a Google review; it doesn't send anything.

Care Plans

GrowWhere: More menu → Growth → Care Plans

Builds a multi-year, pre-priced, pre-scheduled service plan for a client and, when activated, generates every appointment for the whole term at once.

The problem it solves

Locks in recurring revenue by turning one-off customers into standing contracts with the visits and pricing already set, so nothing gets re-sold or forgotten each season.

How to use it
  1. Open Care Plans and tap "New Plan" (or use the AI co-pilot to build it by talking or typing).
  2. Pick the client, the visit frequency (monthly, quarterly, biannually, or custom), and the term length in years.
  3. Assign the services performed on each visit at your catalog prices and set each visit's date — or switch the plan to a fixed monthly retainer fee.
  4. Choose the pricing behavior: lock the price for a set number of years, or auto-increase it by a percentage each year.
  5. Tap Save to keep it as a draft, then tap Activate to generate all the appointments across the full term.
  6. On an active plan, tap "View PDF" to preview the contract, then send, print, or share it to the client from the preview.
  7. Use the status tabs (Active / Draft / Paused / Cancelled) to track plans, with active-plan count and annual value shown at the top.
Good to know
  • Activating creates every visit for the entire term in one step; if you later delete a plan, any appointments already on the calendar stay there.
  • Monthly-retainer plans bill a fixed fee every month for the life of the plan, while annual plans show the full contract value up front.
  • The AI co-pilot fills in frequency, term, and services as you talk, but nothing is saved until you tap Save.
Growth

Marketing

Grow Owner / AdminWhere: More menu → Growth → Marketing (a hub with four tabs: Autopilot, Outreach, Social, Reviews)

Resetting the hub is Owner/Admin only.

One marketing home that finds win-back opportunities, sends email/text campaigns to your clients, and turns your job photos into ready-to-post social content in your brand's voice.

The problem it solves

Lets a busy owner market with the customers and photos they already have — no separate tools, no starting from a blank page.

How to use it
  1. On the Autopilot tab, review the revenue opportunities the app found (dormant, overdue, lost, one-time, and due-soon clients), then tap "Review & send" to reach a group.
  2. On the Outreach tab, tap the "+" to launch the campaign wizard: write a brief, get an AI draft, pick recipients, review, add photos, and send.
  3. On the Social tab, open Packages and tap "Build a package," then drop in your job photos and add a quick note on each to get ready-to-post content for every platform.
  4. Still on Social, open Channels and tap Connect for Instagram, Facebook, Google Business, or TikTok so posts can be published.
  5. Schedule or publish a post from the Library, and use the Scheduled view to watch upcoming, published, and failed posts.
  6. Use the Reviews tab to request and track Google reviews without leaving the hub.
  7. Owner/Admin: tap the "..." menu and choose "Reset Marketing Hub" to wipe marketing content back to a clean slate.
Good to know
  • Auto-posting isn't a one-tap sign-in yet — connecting each social account means pasting that platform's access token, and the app gives step-by-step instructions for getting it.
  • Uploading brand-new photos straight from your device is coming in a later version; for now "From my job photos" pulls in the real before/after photos you already documented.
  • A reset clears campaigns, content packages, social and scheduled posts, and competitor intel (with an option to also clear the Brand Kit) and can't be undone — but it keeps your job photos, connected accounts, and opt-out list.
Growth

Staffing & Growth

GrowWhere: More menu → Growth → Staffing & Growth

Reads your booked work, forecast, pipeline, and real team size to tell you whether your crew is underused, healthy, at capacity, or overloaded — and when to start hiring.

The problem it solves

Takes the guesswork out of the biggest growth decision by turning your own demand data into a clear, timed hire signal.

How to use it
  1. Open Staffing & Growth; the signal loads automatically (pull down to refresh).
  2. Read the Current Signal at the top (Underutilized, Healthy, At Capacity, or Overloaded) and the plain-language hire recommendation beneath it.
  3. Check the confidence and urgency indicators to gauge how strong the signal is.
  4. Review the KPI tiles: jobs per tech per week, revenue per employee, expected jobs in the next 30 days, and average job value.
  5. Read the Demand Drivers section to see what's pushing demand up or down and why.
  6. Look at Pipeline & Backlog (weighted pipeline and unscheduled jobs/value) and the Revenue Horizon (14-day, 30-day, and projected revenue) to see what's coming.
Good to know
  • The math uses your real active team headcount, so a solo operator is measured against one person, not an assumed crew — the recommendation is tailored to your actual team.
  • This is a read-only advisor: it tells you when to start recruiting or hire, but it doesn't post jobs or take any action for you.
  • The workload bands drive the advice — roughly, more than 8 jobs per tech per week reads as overloaded (hire now), 6-8 as time to start recruiting, 4-6 as build a bench, and below that as adequately staffed.

AI Tools

AI Assistant

GrowWhere: Tap the glowing sparkle orb floating at the bottom-right of any screen; or More → AI Tools → AI Assistant; or the "Talk" button on the Home / Command Center screen.

Available to all roles on a Grow plan (an owner can hide it per team member via Role Permissions). Not a separate add-on, but assistant replies are a metered AI capability that draw on your monthly AI credit allotment.

A voice-and-text co-pilot that can look up your schedule, revenue, and clients, search the live web, and take actions for you — draft a quote, book an appointment, create an invoice, send a client message, or start navigation.

The problem it solves

Gives you one place to ask about your business and get things done hands-free (it's built to be safe to use while driving), instead of digging through screens yourself.

How to use it
  1. Tap the sparkle orb on any screen, or open More → AI Tools → AI Assistant.
  2. Type a question in the "Ask anything…" box and tap the send arrow — or tap one of the suggested prompts to see what it can do.
  3. Tap the mic to talk; your words appear live in the banner at the top, and it answers when you pause. Tap again to stop and send.
  4. Turn on "Hands-Free" (top-right) for a continuous back-and-forth: it listens, replies out loud, then automatically listens again.
  5. Check the small chips above each answer (e.g. "Searched web", "Computed revenue", "Pulled client record") to see exactly what it looked at.
  6. On a builder screen (like a quote), the orb changes to a wand — tapping it opens a co-pilot that edits that screen in place instead of the general chat.
  7. Use the speaker, copy, or thumbs-down buttons under a reply to replay it, copy it, or mark it unhelpful.
Good to know
  • The assistant knows which screen you're on, so "this" and "here" resolve to the record you're viewing; on full-canvas screens (camera, measurement) the orb hides so it won't cover controls.
  • It remembers a conversation for about 6 hours, so reopening it shortly after keeps your context.
  • If the mic misbehaves, long-press the Hands-Free button to run a built-in voice self-test.
AI Tools

Knowledge Hub

GrowWhere: More → AI Tools → Knowledge Hub (also reachable from the Home setup checklist as "Knowledge base").

Available to all roles on a Grow plan (owner can restrict per member via Role Permissions).

A searchable library of your company's facts, policies, pricing notes, and FAQs that the AI draws on when it answers questions and handles calls.

The problem it solves

Stops the AI from guessing about your business — you teach it your specifics once, and it uses that knowledge everywhere instead of giving generic answers.

How to use it
  1. Open More → AI Tools → Knowledge Hub.
  2. Tap the + button to add an entry, fill in Title, Category, Content, and comma-separated Tags, then tap Save.
  3. Or tap the sparkles button (AI Learn), type a topic, and tap "Learn Topic" to have the AI research it and add an entry for you.
  4. Narrow the list with the category chips across the top, or type in the search bar to find an entry by title, content, category, or tag.
  5. Tap any entry card to open its full content, source, and tags; tap Done to close.
Good to know
  • Entries are tagged by where they came from — ones you type in show as "manual," and AI Learn creates its own.
  • The assistant pulls from this library when relevant (you'll see a "Queried knowledge base" chip on its answers), so keep entries short and specific for best results.
  • This is a Grow-tier feature.

AI Phone Agent

Manage Owner / AdminWhere: Settings → Finish Setup → AI Phone Agent → Set Up My AI Phone (the full Phone hub, including all AI Agent settings, opens from here).

Owner setup; call usage is metered.

A 24/7 AI receptionist on your own business number that answers calls, books appointments, and captures leads when you can't pick up.

The problem it solves

A missed call is usually a missed job. The AI answers every call — after hours, on the truck, mid-job — and books the work or takes a message, so leads stop slipping away to the competitor who did pick up.

How to use it
  1. Open Settings → Finish Setup → AI Phone Agent and tap "Set Up My AI Phone."
  2. Enter your company name, the number calls should ring first, and your local 3-digit area code, then tap "Set Up My AI Phone" (about ten seconds to provision your number).
  3. Follow the on-screen Call Forwarding Instructions so your existing business number forwards to the new AI line — your customers keep calling the same number they always have.
  4. Toggle the agent on and pick a Routing Mode: After Hours Only, Ring First (the AI backs you up after about 25 seconds), or Always On.
  5. Set your Business Hours and work days.
  6. Under "AI Agent Personalization," set the agent's name, industry, spoken voice (8 presets like Coral, Ash, and Sage), a transfer-to-a-human number, a closing message, and any custom instructions (like a current promo).
  7. Use "Activate Now" / "Back to Auto" for a manual override, and review the last-30-days stats (total calls, AI-handled, leads created, transfers) at the bottom.
Good to know
  • You must enter a real local area code — the system won't guess one for you.
  • Personalization changes take effect on the very next incoming call, with no restart.
  • The same number can also text your customers — see Business Text Number to turn that on.
AI Tools

AI Assistant Voice

GrowWhere: More → AI Tools → Voice Settings (iPhone only).

iPhone only. Owner setup.

Lets you choose the premium voice your in-app AI Assistant speaks with.

The problem it solves

Makes the hands-free assistant sound the way you want, so it's pleasant to listen to while you're driving between jobs.

How to use it
  1. Open More → AI Tools → Voice Settings.
  2. Paste an ElevenLabs Voice ID into "Quick Voice Setup" and give it a name.
  3. Tap "Play Test" to hear it before you commit.
  4. Tap "Set as Active Voice." Use the + button to build a small library of voices to switch between.
Good to know
  • This changes only the in-app assistant's spoken voice — the AI Phone Agent's voice is chosen separately in its own Personalization settings.
  • It's an iPhone-only finishing touch; everything else about the assistant works without it.
AI Tools

FieldOps Connect

GrowWhere: More → AI Tools → FieldOps Connect.

Available to all roles on a Grow plan (owner can restrict per member via Role Permissions).

Schedule and run live video meetings inside the app with your crew and outside guests, each backed by an AI "meeting pack" pre-brief and an AI wrap-up recap.

The problem it solves

Gets the crew onto a call — instantly or scheduled — with automatic SMS reminders and an AI brief, so everyone shows up prepared without juggling separate video links.

How to use it
  1. Open More → AI Tools → FieldOps Connect.
  2. Tap "Start Quick Meeting" to get the crew live right now — pick a meeting type, confirm who's in (the whole crew is pre-selected), and tap "Start Meeting Now."
  3. Or tap Schedule (calendar-plus, top-right) to plan one: choose a type, title, date/time, and duration, then select team and external attendees.
  4. Optionally link a client for context and write an agenda — tap "AI Agenda" to have it generated for you.
  5. Keep "Send SMS reminders" on to text attendees at 30 minutes, 5 minutes, and at start; you can also paste a Zoom/Meet/Teams link.
  6. Open a meeting's details and tap "Join Video Call" for the in-app room, or "View AI Pack" for the AI pre-meeting brief.
  7. Inside the call, use Pack (glance at the brief), Share (send the join link), and Leave; on leaving, jot notes and tap "Generate Summary" for an AI recap plus action items you can share with the team.
Good to know
  • Video runs inside the app; sharing an iPhone's screen live isn't supported yet — join the same meeting from a computer to use the room's built-in screen share.
  • The AI meeting pack generates on demand, so an older meeting may show "Pack not generated yet" with a Generate button.
  • This is a Grow-tier feature.

Team & Payroll

Manage your crew

Team & Payroll

Team Members

All plansWhere: More menu → Team & Payroll → Team Members (also in the sidebar's Team & Payroll section)

Inviting and editing crew is an owner/admin task in practice.

Keeps a roster of everyone who works for the company — owners, admins, sales, crew leads, technicians, office staff, and subcontractors — each with their own login, contact info, role, pay, skills, and a weekly work pattern.

The problem it solves

Without a real roster where each person has their own sign-in, you can't assign jobs to specific people, send them reminders, or track who did what. This is the foundation that makes per-person scheduling, credit, and payroll possible.

How to use it
  1. Open Team Members to see everyone, with quick counts for Active, On Duty, and SMS-ready at the top.
  2. Filter by role or search by name, email, or phone to find someone fast.
  3. Tap Invite (top right) to add a new person — this sends them their own login (see the Invite step below).
  4. Tap any member card to edit their details: name, contact, role, notification preferences, hire date, pay, and skills.
  5. In a member's edit screen, set their Weekly Availability — pick Field, Office, or Off for each weekday (leave everything on Field if they're always available).
  6. Tap the dollar-sign "Pay Roles" button to define reusable roles (like "Field Tech - $25/hr") so a new hire's wage auto-fills.
  7. Use the trash icon on a card to remove someone; this hides them from active rosters but keeps their job history.
Good to know
  • The only way to add a brand-new person is the Invite flow, so their work always ties back to a real login — the edit form is only for people who already exist.
  • Editing a member merges your changes onto their record, so it never wipes their login link or invite status.
  • Removing a member is a soft-delete (reversible in effect) — their past assignments stay intact.
Team & Payroll

Invite Team Members

All plans Owner / AdminWhere: Team Members → Invite button, or Settings → Invite Team Members

Sends a new teammate their own sign-in to your company account, generating a temporary password you share with them. Also lists invitations that are still pending.

The problem it solves

Everyone on the crew needs their own login under the one company so their quotes, jobs, and calls credit to them and payroll works — this creates that login in a few taps instead of sharing one account.

How to use it
  1. Enter the person's email address.
  2. Choose their role: Admin, Field Tech, or Office Staff.
  3. Tap Send Invite.
  4. When it succeeds, copy the sign-in details shown (email plus a temporary password) and pass them to your teammate.
  5. Have them sign in with those details, then change their password in Settings.
  6. If someone loses their temporary password, find them under Pending Invitations and tap the key icon to generate a fresh one.
Good to know
  • A brand-new account returns a temporary password to share; inviting someone who already has an account just adds them, with no new password.
  • Use the "Copy login details" button to grab a ready-to-send message with the email and temporary password.
Team & Payroll

Time Clock & Time Entries

All plansWhere: Time Clock — More menu → Time Clock. Time Entries — More menu → Team & Payroll → Time Entries (also reachable from Payroll → Timesheets)

The Time Clock is for everyone on the crew; reviewing and correcting entries is an owner/admin task.

The Time Clock is a big Clock In / Clock Out button with break controls and running today/this-week hour totals. Time Entries is the manager view that lists everyone's shifts for a date range, allows corrections, exports to CSV, and feeds payroll.

The problem it solves

Captures accurate labor hours per person automatically instead of paper timesheets, and gives the office a clean, auditable record to review and pay from.

How to use it
  1. A crew member opens Time Clock and taps the large Clock In button to start a shift; the card shows how long they've been on the clock.
  2. During a shift, use Start Break / End Break, and optionally type a note before clocking out.
  3. Tap Clock Out to close the shift; today and this-week totals update automatically.
  4. A manager opens Time Entries and picks a window (Today, This Week, or This Period) and optionally a single employee.
  5. Tap any shift to correct the clock-in/out times, break minutes, or status — a reason for the edit is required before saving.
  6. Use the menu (top right) to Export CSV or jump to Payroll Settings.
Good to know
  • A shift can open automatically by GPS when a crew member arrives at a scheduled job site, so nobody forgets to clock in.
  • Every manual correction requires a written reason, creating an audit trail on the shift.
  • Shift status moves through Open → Closed → Approved → Paid; the summary counts how many are still Open.
Team & Payroll

Time Off

All plansWhere: More menu → Team & Payroll → Time Off (also reachable from Payroll → Time Off)

Anyone can request; approving or denying is a manager action.

Lets a crew member request time off (PTO, sick, unpaid, or bereavement) with dates and hours per day, and lets a manager approve or deny pending requests. Tabs cover Request, Pending, and History.

The problem it solves

Replaces scattered texts and verbal "I need Friday off" with a single tracked queue, and approved time off automatically blocks that person from being scheduled.

How to use it
  1. Open Time Off and stay on the Request tab.
  2. Pick the type, start and end dates, and hours per day, and add an optional reason.
  3. Tap Submit request; it moves to the Pending tab.
  4. A manager opens the Pending tab to see all requests awaiting a decision.
  5. Tap Approve or Deny on any pending request.
  6. Check the History tab to see everything already decided.
Good to know
  • Approved time off overrides a person's weekly work pattern, so they show as unavailable on those dates when you schedule jobs.
  • The end date can't be before the start date, and the submit button stays disabled until the dates make sense.
Team & Payroll

Productivity

Grow Owner / AdminWhere: More menu → Team & Payroll → Productivity

Shows per-person productivity for a chosen window (Today, This Week, This Month): jobs completed, hours worked, revenue generated, labor cost, on-time arrival rate, and the labor-cost-vs-revenue ratio — plus average time spent per service type.

The problem it solves

Tells you which crew members are actually profitable and reliable, turning "who's pulling their weight?" into hard numbers instead of a gut feel.

How to use it
  1. Open Productivity and pick a time range at the top.
  2. Read the Totals card for company-wide jobs, hours, revenue, labor, and the overall labor-to-revenue ratio.
  3. Scroll to each person's card to compare their jobs, hours, revenue, and labor cost.
  4. Check the on-time arrival badge on each card (green means 85% or better).
  5. Watch each person's Labor/Revenue percentage — it turns red when labor is eating too much of the revenue.
  6. Expand a card's "Avg time per service" to see how long they typically take on each service type.
Good to know
  • These numbers only credit correctly when each crew member has their own login, so make sure everyone is invited (not sharing one account).
  • A person with no revenue on the job shows a dash for the labor-to-revenue ratio rather than a misleading number.
Team & Payroll

Payroll & Pay Stubs

Grow Owner / AdminWhere: Payroll — More menu → Team & Payroll → Payroll. Pay Stubs — More menu → Team & Payroll → Pay Stubs

Running payroll and generating tax forms is Owner/Admin only; crew members can view their own pay stubs.

Payroll is the hub for pay periods, timesheets, and time off, showing the current period's hours, how many entries are approved, and an estimated gross. Pay Stubs lists generated stubs (net and gross, tap to open the PDF) and, for owners/admins, year-end W-2 and 1099 forms.

The problem it solves

Turns approved time entries into a real payroll run and gives everyone documented pay stubs and tax forms, without exporting to a separate spreadsheet or payroll tool.

How to use it
  1. Open Payroll to see the current pay period with total hours, approved count, and estimated gross.
  2. Use the tabs to switch between Pay Periods, Timesheets, and Time Off.
  3. As an owner/admin, tap Open period to review and run payroll for the open period.
  4. From the Timesheets tab, jump to all timesheets, add a manual entry, or open the Time Clock.
  5. Open Pay Stubs and choose a year; owners/admins can also filter by employee.
  6. Tap any stub to open its PDF (it regenerates automatically if the file isn't ready yet).
  7. As an owner/admin, pick an employee and use Download W-2 or Download 1099 for year-end forms.
Good to know
  • A crew member only sees their own stubs; owners and admins see everyone plus the tax-form tools.
  • Pay-period status runs Open → Locked → Submitted → Paid, shown as a colored badge so you know where each period stands.
  • Tax-form buttons stay disabled until you select a specific employee.
Team & Payroll

My Availability

All plansWhere: Settings → My Availability

Self-service for any logged-in crew member.

Lets the signed-in person set their own weekly pattern — Field, Office, or Off for each weekday — which managers then see when scheduling jobs.

The problem it solves

Part-timers with school or a second job (or an owner marking their office days) can keep their own availability current without waiting on a manager to edit their profile.

How to use it
  1. Open Settings and tap My Availability.
  2. For each weekday, choose Field (on the truck), Office (admin/meetings), or Off (not working).
  3. Tap Save.
  4. Tap Done to close; your manager now sees this when scheduling.
Good to know
  • Field means available for jobs, Office means working but not on jobs, and Off means not working that day.
  • Approved time off still overrides this pattern, and if you set nothing you're treated as available.
  • If it says it can't find your profile, ask your manager to add you under Team Members so your availability can be tracked.

Admin & Setup

Set up and configure

Admin & Setup

Settings (overview)

All plans Owner / AdminWhere: More → Settings (also reachable as More → Admin → Settings)

The central hub for setting up and running your account — your logo, company info shortcuts, plan, phone/text numbers, data import, AI credits, availability, and account controls all live here.

The problem it solves

Gives you one place to configure the business instead of hunting through menus, and it's always available even if you dismiss the "Finish setting up" card on Home.

How to use it
  1. Open More and tap Settings.
  2. Scroll the cards top to bottom — Finish Setup, Company Logo, Account, plan, and the setup shortcuts.
  3. Tap into any card (for example Business Text Number, AI Credits, or Auto-Scheduling) to configure it.
  4. Use Sign Out at the bottom when you need to switch accounts.
Good to know
  • The Account card shows read-only technical info (your email, backend, app version) that support may ask for.
  • The QuickBooks Sync card only appears in internal test builds — customers won't see it.
Admin & Setup

Smart Import (AI CSV Import)

Manage Owner / AdminWhere: More → Admin → Import Clients / Import Invoices / Import Appointments (also the Clients screen → + → Import from CSV, and the Invoices screen → + → Import from CSV)

Upload a CSV or Excel export from any other system — Jobber, Housecall Pro, QuoteIQ, ServiceTitan, or a plain spreadsheet — and the built-in AI reads your column headers and sample data and automatically maps each column to the right FieldOps field. It also transforms data as it goes: a single "Customer Name" column is split into first and last name, dollar amounts and dates are cleaned into the app's format, and paid invoices are recorded so they show up in your financials. Works for three record types: Clients, Invoices, and Appointments.

The problem it solves

Switching software usually means re-typing years of customers, job history, and schedule by hand — the #1 reason owners stay stuck on a system they've outgrown. Smart Import makes moving over take minutes instead of weeks: your data lands complete and correctly filed across the whole app — client files, revenue in Financials, jobs on the calendar — as if you'd built it in FieldOps from day one.

How to use it
  1. Export your data from your old system as a CSV or Excel file (most have an "Export" button).
  2. In FieldOps, open More → Admin and pick Import Clients, Import Invoices, or Import Appointments (or use the Import from CSV button on the Clients or Invoices screen).
  3. Choose your file. The AI analyzes it and proposes a mapping of your columns to FieldOps fields.
  4. Review the mapping — each column shows what it was matched to. Tap any one to change it if the AI guessed wrong.
  5. Tap Import. Large files are handled automatically in batches.
  6. Repeat for each record type — do clients first, then invoices and appointments so they link to the right client.
Good to know
  • Import clients first — invoices and appointments match to an existing client by name, and auto-create the client if one isn't found.
  • Duplicates are detected (by email, phone, or name for clients; by invoice number for invoices), so re-running an import won't double up your data.
  • Paid invoices you import are counted in Financials and the daily briefing exactly like invoices created in the app.
  • Dates and dollar amounts are normalized automatically — you don't have to match any particular format.
  • If no AI key is configured it still works, using a smart rule-based mapping as a fallback.
Admin & Setup

Finish Setup (Setup Checklist)

All plans Owner / AdminWhere: Settings → Finish Setup (also the "Finish setting up" card on Home)

A progress-tracked checklist that walks you through the must-do setup items (company info, logo, priced services, sales tax, Google review link, taking card payments) plus optional "power up" items (invite crew, AI phone, scheduling rules, website, assistant voice, knowledge base).

The problem it solves

New accounts don't know what to configure first; this shows a percentage complete and links each item straight to the screen where you set it.

How to use it
  1. Open Settings and tap Finish Setup.
  2. Check your progress bar and the Organize list.
  3. Tap any unchecked item to jump to that setup screen.
  4. Complete it, then come back — items tick off automatically as your account data fills in.
  5. Work through the Power Up list when you're ready for automations and growth tools.
Good to know
  • Completion is detected from your real account data (for example, a priced service catalog or a saved company profile), not a manual "mark done," so it stays honest.
  • The optional "explore" items never count against your percentage.
Admin & Setup

Company Profile

All plans Owner / AdminWhere: More → Admin → Company Profile (also Finish Setup → Company info)

Stores your business name, phone, email, website, address/service area, logo URL, Google review link, sales tax rate, and internal notes.

The problem it solves

This is the information that prints on your quotes and invoices and feeds client messaging — setting it once keeps every document consistent and professional.

How to use it
  1. Open More → Admin → Company Profile.
  2. Fill in Contact Info (name, phone, email, website).
  3. Fill in Location and set your Sales Tax % (enter 0 if you don't charge tax).
  4. Paste your Google review link so review requests point to your page.
  5. Tap Save Changes.
Good to know
  • The sales-tax rate you set here is applied to new quotes and invoices automatically.
  • Your website is mirrored into the SEO/setup tools when you save, so you only enter it once.
  • If a save fails you'll see a red error — don't assume it saved, since this data feeds your invoices.
Admin & Setup

Stripe & Payments

All plans Owner / AdminWhere: More → Admin → Stripe Settings (also Finish Setup → Get paid with cards)

Shows whether Stripe is connected, which keys and webhook are configured, a Test/Live mode switch, and a running summary of payments collected.

The problem it solves

Lets you confirm you're actually set up to take card payments and see money coming in, without logging into Stripe.

How to use it
  1. Open More → Admin → Stripe Settings.
  2. Check the Connection Status and Configuration cards for green checkmarks.
  3. Leave the switch in Test Mode while you're trying things out; flip it to Live Mode to process real charges.
  4. Review Payment Activity and Recent Payments to confirm collections.
  5. Tap Open Stripe Dashboard for anything deeper.
Good to know
  • For security, your actual Stripe API keys must be entered on the web dashboard (Settings → Integrations), not in the app — the app screen is for status and the Test/Live toggle.
  • Test Mode payments are simulated and never charge a real card.
Admin & Setup

Role Permissions

Grow Owner / AdminWhere: More → Admin → Role Permissions

Lets you create roles (Admin, Manager, Technician, Office Staff, or custom) and choose exactly which tools each role can see in the app.

The problem it solves

Keeps crew members focused — a technician sees the schedule and clients but not payroll or financials — and stops sensitive tools from showing to the wrong people.

How to use it
  1. Open More → Admin → Role Permissions.
  2. Tap the + button to add a role (or tap an existing role to edit it).
  3. Give it a name, or tap a Quick Preset (Admin/Manager/Technician/Office Staff) to load a sensible starting set.
  4. Check or uncheck individual tools under "Tools this role can access."
  5. Tap Create Role / Update Role — it applies immediately.
Good to know
  • This controls which tools are visible per role, not deep server permissions.
  • The Owner always has full access, and Home and Settings can never be hidden, so no one ends up locked out of a blank app.
  • Changes take effect for that role right away.
Admin & Setup

Import Data (CSV Wizard)

All plans Owner / AdminWhere: Settings → Import Data from CSV

A guided wizard that brings your existing clients, invoices, or quotes into FieldOps from a CSV exported by QuickBooks, Jobber, Housecall Pro, or any spreadsheet.

The problem it solves

Lets a new company land its full history in the right shape without anyone writing custom import code, and without re-keying hundreds of records.

How to use it
  1. In Settings, tap Import Data from CSV.
  2. Pick what you're importing: Clients, Invoices, or Quotes.
  3. Upload your CSV file.
  4. Map your spreadsheet's columns to the matching FieldOps fields (name, address, amount, dates, and so on).
  5. Preview the parsed rows to check they look right, then commit the import.
Good to know
  • Client name and total amount are required fields; map those or the import won't validate.
  • Original dates (issue date, scheduled job date, paid date) are preserved from your file so your reporting stays accurate.
Admin & Setup

Import Clients & Invoices (Smart Import)

Manage Owner / AdminWhere: More → Admin → Import Clients / Import Invoices

Dedicated importers for bulk-loading your client list ("Smart Import") and your invoice history separately from the guided CSV wizard.

The problem it solves

Gives you a direct path when you just need to pull in one record type quickly, rather than stepping through the full onboarding wizard.

How to use it
  1. Open More → Admin.
  2. Tap Import Clients to load your customer list, or Import Invoices for billing history.
  3. Provide your file and follow the on-screen prompts.
  4. Confirm the import.
Good to know
  • These live in the Admin section and are the same data destination as the CSV wizard — use whichever fits, but avoid importing the same file twice.
  • Run Duplicate Cleanup afterward if you imported over existing records.
Admin & Setup

Duplicate Cleanup

All plans Owner / AdminWhere: More → Admin → Duplicate Cleanup

Scans your client list for likely duplicate records, groups them, and lets you merge each group into one primary record.

The problem it solves

Imports and repeat data entry create double entries for the same customer; this consolidates them so your client count, history, and revenue math stay clean.

How to use it
  1. Open More → Admin → Duplicate Cleanup.
  2. Let it scan; review the "Potential Duplicate Groups."
  3. In each group, select the record you want to keep as the primary.
  4. Tap Merge to fold the duplicates into it.
Good to know
  • Merging reassigns the duplicates' related records to the primary and then deletes the extras — it can't be undone, so pick the primary carefully.
  • Run it after any large import.
Admin & Setup

Business Text Number

Manage Owner / AdminWhere: Settings → Business Text Number

Turns on two-way texting from your own business number so reminders, quotes, and replies come from your line instead of a shared one.

The problem it solves

Clients recognize and trust texts from your real number, and their replies come back to you instead of being dropped on a generic line.

How to use it
  1. Open Settings → Business Text Number.
  2. Review your number, whether texting is On, and your carrier-registration status.
  3. If texting is off, tap "Turn on texting from my number."
  4. Complete carrier (A2P) registration when prompted so messages deliver reliably.
Good to know
  • You need a business number first — set one up with the AI Phone Agent (in AI Tools); the same number handles both calls and texts.
  • To actually deliver texts to US customers you must finish carrier (A2P) registration; until then it shows as pending.
  • Your plan or add-on is checked when you turn it on, so the button may report it's not available on your tier.
Admin & Setup

AI Credits

All plansWhere: Settings → AI Credits

Shows your monthly AI credit balance and usage, lists what each premium AI tool costs in credits, and explains purchased "pack" credits and auto-reload.

The problem it solves

Premium AI features (driveway scans, property intelligence, proposal packets) draw on a monthly allowance — this shows how much you have left so you're never surprised mid-job.

How to use it
  1. Open Settings → AI Credits.
  2. Read your balance and the "This month" usage bar.
  3. Scroll to "Credit cost per AI tool" to see what each feature spends.
  4. Check "Pack credits" for any purchased credits, which never expire.
Good to know
  • As the owner you'll see "Unlimited" and full access.
  • Your monthly allowance resets on the 1st, and everyday things (daily briefing, assistant chat, weather, dashboards) are free and unlimited.
  • Buying credit packs from inside the app is currently turned off in App Store builds — the display is informational.
Admin & Setup

Auto-Scheduling

All plans Owner / AdminWhere: Settings → Auto-Scheduling (also Finish Setup → Scheduling rules)

Controls how the app proposes and books jobs — your working days, daily job limit, how far out to schedule, how to weight proposed dates, and blackout dates.

The problem it solves

Keeps automatic scheduling and client self-booking inside your real capacity so you don't get overbooked or booked on days you don't work.

How to use it
  1. Open Settings → Auto-Scheduling.
  2. Toggle auto-scheduling on, then set your daily job limit and working days.
  3. Set your lead time (how many days out the earliest booking can be).
  4. Choose a proposal style (earliest, balanced, or spread out).
  5. Add any blackout dates (vacation, holidays), then Save.
Good to know
  • This screen also shows your texting (A2P) status — if it's not approved yet, automated outreach stays email-only for now.
  • Blackout dates you add here are respected everywhere the app proposes times.
Admin & Setup

Subscription & Plan

All plans Owner / AdminWhere: Settings → subscription card (near the bottom)

Shows your current plan (Free Trial, Organize, Manage, or Grow), your limits (users, clients, monthly AI credits), and an owner badge.

The problem it solves

Tells you at a glance what you're on and what your account includes, so you know when it's time to move up a tier.

How to use it
  1. Open Settings and scroll to the plan card.
  2. Read your plan name, tagline, and included limits.
  3. If you're an admin who should be the owner, tap "Claim Owner Access."
Good to know
  • Plans are Organize ($99/mo), Manage ($249/mo), and Grow ($399/mo), with a 7-day free trial that unlocks Manage-level features so you can evaluate fairly.
  • Owners see "Full access — all features unlocked."
  • Actual plan changes and billing are handled through the web checkout, not this card.
Admin & Setup

AI Learning & Data Cleanup

All plansWhere: Settings → AI Learning & Cleanup card

"Reset My" is per-user; "Reset Company" and the tool-history clears are Owner/Admin actions.

Lets you wipe the preferences the AI has learned (just yours, or the whole company's) and clear old test results from specific tools (competitor scans, driveway scans, forecasts, phone call logs, marketing insights).

The problem it solves

Clears out clutter from testing or a bad training run so the AI starts fresh — without touching your real business records.

How to use it
  1. Open Settings → AI Learning & Cleanup.
  2. Tap "Reset My AI Learning" to clear just your learned preferences, or "Reset Company AI Learning" for the whole company.
  3. Under Clear Tool History, tap the specific tool you want to wipe (for example Clear Driveway Scans).
  4. Confirm the action in the dialog.
Good to know
  • Your clients, jobs, quotes, and invoices are never touched by any of these — only AI learning and that tool's scan/analysis results are removed.
  • The resets can't be undone, so use the company-wide one deliberately.
Admin & Setup

Account Deletion / Cancel

All plansWhere: Settings → Account card → Delete My Account

Behavior differs by role (owner vs team member).

Self-serve account deletion. For an owner it permanently deletes the whole company and all its data; for a team member it just removes their own login.

The problem it solves

Gives you a clean, do-it-yourself way to cancel and remove your data (for privacy/GDPR) without contacting support.

How to use it
  1. Open Settings and scroll to the Account card.
  2. Tap Delete My Account.
  3. Read the warning carefully (it changes depending on whether you're the owner).
  4. Tap Delete to confirm — you'll be signed out.
Good to know
  • As the owner this erases clients, quotes, invoices, photos, and every team member's login, and it cannot be undone.
  • As a team member, only your access is removed and the company's data stays with the owner.
  • If you subscribed through the App Store, cancel that subscription separately under your Apple ID.
